I-9 Process for Supervisors

The I-9 Verification is a federally required process and must be completed by all employees to legally work in the U.S. Any DU employee in your division that does not complete this process by their THIRD DAY of employment will be terminated until this process is complete. Please find detailed instructions below on your responsibility as a supervisor in completing the document verification for each of your newly hired employees.

I-9 Verification

All new employees at the University of Denver, including faculty, staff and student employees, are required by law to complete an I-9 verification on or before their first day of employment. A basic overview of this process can be found below, but please follow the detailed manual that can be found in the Resources section to become familiar with the procedure. If it is a preferred medium, you can also follow the PowerPoint slides found in the Resources section if that is preferred.

I-9 Process

As their supervisor, you will verify their work authorization following this procedure: 

  1. The employee will bring their acceptable identification document(s) with them on their first day of work. You will look over these documents for the following information:
    1. They are in their original form (no photocopies accepted)
    2. They are unexpired
    3. Identity verification (does the photo on the document match the employee?)
  2. Once you have verified the employee’s documents and identity, please reach out to Employment Services to confirm this verification. Please find the e-mail template in the provided manual.
  3. Please also provide the Employee Information and Action Items found in the resources that include the next hiring steps for the new employee. They can update each of these action items in their My DU account. These items include general employee information like their emergency contact, direct deposit setup, etc. This list is also provided in the manual
  4. Please note: If your employee has worked for DU before and believes they have already completed the I-9 Verification, please reach out to employmentservices@du.edu to confirm their status and whether they are due to re-verify.

I-9 Process for Remote Employees

If an employee is working remotely and cannot complete Section 2 of their I-9 Verification in-person, you will need to follow the remote process.

  • Please reach out to your employee and schedule a Zoom or Teams meeting to verify their identity and documents. The meeting should only take a few minutes. Please see the included email template provided in the manual.
  • Before the meeting, please reach out to Employment Services for a copy of the employee’s identification documents. You will use this copy to compare to the employee’s documents on camera. You will also need to ensure that the employee holding the documents matches the photo in the identification.
  • Once you have verified the employee’s documents and identity, please reach out to Employment Services to confirm this verification. Please find the email template in the provided manual in the resources section.
  • Please also provide the Employee Information and Action Items found in the resources that include the next hiring steps for your new employee. They can update each of these action items in their My DU account. These items include general employee information like their emergency contact, direct deposit setup, etc. 
  • Please note: If your employee has worked for DU before and believes they have already completed the I-9 Verification, please reach out to employmentservices@du.edu to confirm their status and whether they are due to re-verify.
