O365 Law Migration FAQ

 

 

Overview on Law Office 365 Migration

The Sturm College of Law is committed to strengthening its cybersecurity posture, to enhancing the IT experience of its community members, and to interacting effectively with internal and external stakeholders.  

To these ends, we have been in collaboration with the University’s Department of Information Technology to migrate our unit-level (@law.du.edu) into the University-level (@du.edu) O365 accounts. We have completed various rounds of migration tests and migrating small batches of Law users from their @law.du.edu to their @du.edu O365 accounts. 

Provided below are frequently asked questions (FAQs) regarding this migration.

How will I know when the migration is complete for my account?

Once the migration of your account is complete, you will get an email with the subject "Office 365 Account Successfully Migrated to @du.edu" stating that it was complete.

Please check your @du.edu email regularly for this email. You can do so by going to https://outlook.office.com/owa/ and log into your email using your @du.edu email address.

Is my account usable during the migration?

Yes, you can use the Office 365 products and services (including email) while your account is being migrated. During the migration, you will be able to log into both @law.du.edu and @du.edu. Once the migration starts, it is highly recommended to start using your @du.edu account primarily. You can do so by going to https://outlook.office.com/owa/ and log into your email using your @du.edu email address. 

After my account is migrated to DU account, what does this mean for me?

You will use your @du.edu O365 account to log into and access the following:

  •     Email 
  •     You will still receive emails sent to your @law.du.edu. 
  •     Microsoft 365 products (Word, PowerPoint, OneDrive, Teams, Excel).  
  •     Anything requiring DUO for multi-factor authentication. 
  •     Off-Campus Network Access (VPN) (here is a link to more information).
  •     Eduroam
  •     Any internet browser bookmarks for SharePoint sites will need to be updated. 
  •     Any external OneDrive links will need to be re-shared.  

You will continue to use your @law.du.edu account to log into the following: 

  •     Computers or Laptops (faculty/staff)  

I just received email saying the migration is complete. What should I do now?

Once the migration of your account is complete, you will get an email with the subject "Office 365 Account Successfully Migrated to @du.edu" stating that it was complete. Once you get this email, please complete the following tasks:

  1. Close out of any web browsers that you had opened and were logged in with your @law.du.edu account. For now on, please log into any Microsoft Office 365 websites with your @du.edu account.
  2. On your computer sign out of all Office desktop applications (Word, PowerPoint, OneDrive, Teams, Excel, OneNote) and sign in with your @du.edu. Please follow this 'how to' guide.
  3. Create a new Outlook desktop application profile by following these steps: Creating an Outlook profile for your @du.edu Account.
  4. Open your Microsoft Word desktop application. Click on File and then choose Account near the bottom. Under 'User Information' you will see your @law.du.edu email noted. Choose sign out. After that, it should automatically switch to your @du.edu account.
  5. On your mobile device, log out of any mobile application that's using your @law.du.edu account. Then log back in with your @du.edu account.
  6. If you use OneNote, follow these steps on how to open your notes associated with your @du.edu account: Update OneNote to use your @du.edu Notebooks

After the migration, I noticed some of my emails from my Law email account are not in my DU email account. What should I do?

The majority of your email will be in your @du.edu account after you get the completion email "Office 365 Account Successfully Migrated to @du.edu." The remaining ones will appear the following days. Please allow at least three days after the migration for those final emails to appear. If you notice that there are emails still missing in your DU email three or more days after the migration, please contact support@du.edu.

What happens to my @law.du.edu account after the migration is complete?

After you are completely migrated, any email sent to your @law.du.edu email will be forwarded to the inbox of your @du.edu.

You will still be able to log into your @law.du.edu account for up to one week following the the completion of this migration. After that, you will not be able to log into Office 365 with your @law.du.edu.

If you see the following message, it is because you are trying to log in with your @law.du.edu after the allotted time. Simply log in with your @du.edu moving forward.

 

What happens to the shared mailboxes or distribution lists that I am part of?

Shared mailboxes and distribution lists that reside on the @law.du.edu side that are actively used will be migrated over as well. Once these accounts are migrated they will start with 'law-' on the @du.edu side.

For example:

Once those are migrated, any mail sent to the @law.du.edu distribution list or shared mailbox is forwarded to their @du.edu account.

 

How do I update my Outlook desktop profile to use my @du.edu account?

It is highly recommended to create a new Outlook profile for your @du.edu account. This link will take you to a new window with step by step instructions on how to do this: Creating an Outlook profile for your @du.edu Account.

Teams: Why does it say 'DU Migrate' in my Teams chat and channels?

Chat history within Teams will be migrated over as well. After the migration it may look like below. It will show the person's name who posted it (examples in the screenshot of Jane Doe). It will also show 'DU Migrate' with DM as the abbreviation. This will only be displayed for any historical chat history that was part of the migration. Any future conversations that take place under your @du.edu will not display that.

 

Teams: My account was migrated over to du.edu. I'm a member of a Teams site that hasn't been migrated. How do I participate in that Team?

Scenario:

  • Your account was successfully migrated over to du.edu
  • You are a member of a Team site has not been migrated.
  • You cannot view or participate in this team.

Solution:

Actively used Law Teams sites will be migrated over to @du.edu. But during this transition there may be a short amount of time where some Law Teams sites are not yet migrated over. If your @law.du.edu account was migrated over to @du.edu but you are still apart of a Teams site that hasn't yet been migrated over, you will need to be added as a guest temporarily to that Law Teams site. Please click this link to follow the steps on how to do so: Adding an @du.edu user as a guest to a Law Team. This is a temporary workaround until the Law Teams site is migrated over.

 

Teams: A Teams site was migrated over to du.edu. Law account users cannot see this Team. How do we add them to it?

Scenario:

  • Teams site migrated over to du.edu
  • One or more members of this Team has not been migrated and still use their @law.du.edu account
  • These users cannot view or participate in this team.

Solution:

If the Teams site you are a member of was migrated over to @du.edu but your account still has not yet been, simply log into Microsoft Teams with your @du.edu account and you should see the team there. If you do not, please have the owner of the Team site add your @du.edu account as a member of that Team. This is a temporary workaround until your account is migrated over to @du.edu. 

 

OneNote: I open OneNote and it says I can't update the notebook. What do I do?

Scenario:

  • Your account was successfully migrated over.
  • You open OneNote and see a banner message like the yellow banner below:

Solution:

This is showing up because it's trying to load your OneNote notebook associated with your @law.du.edu. To fix this, follow these steps on how to open your notes associated with your @du.edu account: Update OneNote to use your @du.edu Notebooks
